Importing Multiple Clients from external tax return files

When you import a client using a tax return file, you are doing two things:

  1. Transferring a copy of the tax return into the TaxCalc database.
  2. Creating a record for that client in Practice Manager, which can then be used across the TaxCalc Applications.

Please note: The importing process will not automatically create any new tax returns. That must be done after the importing process.

Step 1 - Open the Practice Manager Application

Clients are managed in the Practice Manager application. When TaxCalc opens, click on Practice Manager to open it.

Step 2 - Start the Import Client Process

When Practice Manager opens, it will look similar to the screen below.

To start the Import Client Process, click on the Import Client option in the left-hand menu.

Step 3 - The Import Client Wizard

Introduction

The Import Client Wizard is displayed.

Throughout TaxCalc, you will find that many processes are driven by Wizards.

At each step, use the Continue button to advance to the next step and the Go Back button to return to the previous step.

Every time you visit a new Wizard, you will be greeted by an Introduction step. You can tick the checkbox to skip the Introduction the next time you import a client.

Click on Continue to go to the Choose file(s) to import step.

Selecting the tax year

You will be presented with a screen like the below:

Choose the tax year in question from the drop down menu and click Continue

If you are looking to import multiple files, click on the Choose... button for the row labelled …Or select a folder containing Multiple files. If you wish to import the contents of a file structure (folders within folders), click on the Search in subfolders checkbox next to the Choose button.

Select the folder containing returns that you wish to import and then click on Select Folder.

This will return you to the Import Client Wizard.

The filepath to your selected file is now displayed and the Tax return files found section is now populated.

You can exclude types of tax return if you do not wish to import them. In the example above, all SA900 returns will not be imported.

Click on the Continue button to carry on with the import. The different types of file will now be displayed in turn.

The Files to Import screen confirms the type of files to be imported (in this case, Self Assessment).

Click on the Continue button to carry on with the import.

This next Files to Import screen confirms the Corporation Tax files to be imported.

Once all file types have been displayed, the Continue button will take you to the Finish page.

This screen summarises the files to be imported.

By default, the tax return(s) will be stored in the TaxCalc database for future use. This is strongly recommended. However, if you wish to store them elsewhere, you can change the radio button to keep them in my file system.

Click on the Finish button to import the return(s).

This will return you to the Practice Manager screen.

The imported clients have now been added to the client database and will appear in lists of clients.

A note about integration

All of the  information in the client’s record can be reused by TaxCalc and the applications that it comprises (Accounts Production, Tax Return Production etc.). This avoids having to rekey information, saving you time, and eliminates the potential for introducing spelling mistakes.
